AED Program Management and Medical Oversight Services Program

AED Program Management

HeartSine Technologies has created the Heart Trac program to offer AED Program Management and Medical Oversight Services in one easily manageable, cost-effective  package. This program includes all the tools you need to maintain, track, and service your HeartSine AED units, helping you manage the associated legal compliance and maintenance issues with confidence. The Heart Trac program is based on a comprehensive set of web-based tools, so there’s no software or hardware to buy or install. All of your AED program records are accessible around the clock from Heart Trac’s password-encrypted central data management system.

Think Implementing an AED Program Will Be Complicated? Heart Trac Can Simplify It.

The Heart Trac program starts with an assessment of your AED emergency response preparedness. We’ll help you choose an administrative contact for each facility, then assign an AED Program Specialist to work with you to collect site-specific data for use in establishing AED policies and procedures tailored to each site. We’ll also help you develop comprehensive Emergency Response Plans and AED protocols, determine the most appropriate locations for your AEDs, and make sure they’re installed properly.

Whether you have one AED to register or thousands, Heart Trac assures you the filing, registration, and submission of your compliance paperwork has been completed properly and you have the documentation to back it up. We’ll review the applicable federal, state, and local regulations to ensure your AED program is in compliance, register your AEDs and their precise locations with the local emergency medical services (EMS) department, and document them using the forms required in each jurisdiction. All your necessary registration forms are completed automatically, sent to the appropriate authorities, and saved to your online profile with a date stamp for future reference.

Didn’t Realize You Needed a Doctor’s Prescription for an AED? Heart Trac Offers Comprehensive Medical Direction and Oversight.

Medical direction and oversight are essential aspects of any facility’s AED program. HeartSine’s national Medical Director team of licensed, board certified physicians can not only write the prescription necessary for each AED you purchase but can ensure you have the right AED for the setting and that your program is properly authorized. Your Heart Trac Medical Director uses the information your AED Program Specialist gathers to develop site-specific AED program policies and procedures, Emergency Response Plans, and AED Protocols, to ensure your compliance with state and local regulatory requirements. Later, if an SCA event occurs at your facility and a HeartSine AED is used, the Medical Director will analyze the data the AED gathered during the cardiac event, closing the loop by reporting on how the AED performed.

Can’t Locate Your AED Program Records? Heart Trac Has You Covered.

Heart Trac’s web-based, password-encrypted central data management system provides ready access to all the records associated with your HeartSine AED program. This helps ensure both your program and your equipment remain in regulatory compliance. It’s always easy to find all the data you need to create a comprehensive AED program status report:

  • Installation and maintenance data
  • Equipment locations
  • Date equipment was placed in service
  • Equipment serial numbers
  • Expiration dates for Pad-Pak cartridges and other consumables
  • Scheduled maintenance dates
  • Cardiac arrest events data

We’ll automatically notify your facility’s AED administrative contact by email about pending expirations of consumable products like Pad-Pak cartridges and the timing of scheduled maintenance. You can even place orders for replacements right online. Heart Trac documents your AED program by tracking and reporting on AED/CPR training, testing and certifications. With Heart Trac’s automated email notifications, it’s easy to check who on your staff is up to date on their training and who should be scheduled for a recertification course. And because the central data system is online, you have round-the-clock access to your facility’s AED program policies and procedures, AED protocols, Emergency Response Plans, regulatory notification dates, and contact information for AED program personnel.

How Did Your Staff Respond to an SCA Emergency? Heart Trac Keeps You Informed.

After someone suffers an SCA in your facility, Heart Trac provides the data you need to learn important lessons from the incident. It’s easy to transmit clinical event data from your AED to HeartSine, allowing your program’s Medical Director to download and review it and file the required regulatory reports. When you transmit the data to HeartSine within 72 hours of the event, we’ll automatically replace the used Pad-Pak at no charge to you so the AED can go back into service. We’ll also conduct an on-site event debriefing with your AED response team to gather information on what occurred during the event and share the results of the clinical event data review.
